Planning Fee & Payment Policy

Paradise Coast Travel, LLC (“the Agency,” “we,” or “us”) provides professional travel planning, research, and booking services. This Payment Policy outlines how planning fees and trip payments are charged, processed, and applied, so that every client knows exactly what to expect before we begin working together.

1. Professional Planning Fees

A non-refundable planning fee is charged at the time of booking to reserve your travel advisor's time, expertise, and research for your itinerary. This fee compensates the Agency for professional services rendered regardless of whether a trip is ultimately booked. Planning fees vary by service tier and trip complexity:

The exact fee within each tier's range is confirmed in writing before planning begins and depends on factors such as destination complexity, number of travelers, accessibility or sensory-accommodation research, and vendor coordination required. Planning fees are due at the time services are requested and are separate from, and in addition to, the cost of the trip itself.

2. Trip Deposits & Final Payment

Once an itinerary is selected, deposit and final payment amounts, methods, and due dates are set by the individual supplier (resort, cruise line, tour operator, airline, etc.) and will be clearly communicated at the time of booking. In general:

     Deposits are due at the time of booking to secure pricing, availability, and any promotional offers.

     Final payment due dates vary by supplier and are typically 60–120 days prior to departure; the exact date will be confirmed in your booking documents.

     Payments may be made by the methods accepted by each supplier, which may include credit card, debit card, check, or bank transfer. Some suppliers charge a processing fee for credit card payments.

     Missed final payment deadlines may result in automatic cancellation of the reservation by the supplier, subject to that supplier's own cancellation and penalty terms.

It is the client's responsibility to make all payments on time. Paradise Coast Travel, LLC will make reasonable efforts to remind clients of upcoming deadlines but is not liable for penalties, fare increases, or cancellations resulting from late or missed payments.

3. Accepted Payment Methods

Paradise Coast Travel, LLC accepts payment for planning fees via [insert accepted methods — e.g., credit/debit card, ACH transfer, or invoicing platform]. Trip payments made directly to a supplier follow that supplier's accepted payment methods, which will be provided at booking.

4. Price Fluctuations & Supplier Changes

Travel pricing is set and controlled by third-party suppliers and is subject to change until a deposit is paid and the reservation is confirmed. Paradise Coast Travel, LLC is not responsible for price increases, currency fluctuations, fuel surcharges, or fare changes that occur prior to booking confirmation or as permitted under a supplier's terms and conditions.

5. Non-Refundable Planning Fees

Planning fees are earned at the time services are rendered and are non-refundable, including in circumstances where a client decides not to book, changes destinations after research has begun, or cancels the planning engagement for any reason. This policy reflects the time, research, and professional expertise invested in every client relationship from the first consultation forward.

6. Travel Protection

Paradise Coast Travel, LLC strongly recommends the purchase of travel insurance for every trip to protect against cancellation, interruption, medical emergencies, and other unforeseen events. Clients who decline coverage will be asked to acknowledge this recommendation in writing via a separate Travel Insurance Waiver.
