Terms and Conditions
Please read these Terms and Conditions carefully before using our services.

1. Agreement to Terms
By engaging Paradise Coast Travel, LLC ('we,' 'our,' or 'us') for travel planning services, you ('Client') agree to be bound by these Terms and Conditions. These terms govern all services provided by Paradise Coast Travel, LLC, an independent agency affiliated with WorldVia Travel Network.
2. Our Services
Paradise Coast Travel, LLC provides personalized travel planning and advisory services, including but not limited to:
• Destination recommendations and itinerary planning
• Hotel, resort, and cruise booking assistance
• Flight booking support and transportation coordination
• Excursion, tour, and activity planning
• Special needs, autism-friendly, and accessibility travel planning
• Romance, honeymoon, and anniversary trip planning
• Group travel coordination
• All-inclusive vacation packages
• Travel protection (insurance) guidance
All services are provided through tiered planning packages (Essentials, Signature, Concierge, and VIP White Glove) as described on our website and discussed during your consultation.
3. Service Fees
Our planning fees are structured as follows:
• Essentials Package: $49–$99
• Signature Vacation Planning Package: $149–$249
• Concierge Planning Package: $349–$599
• VIP White Glove Travel Experience: $750–$2,500+
The appropriate tier will be determined during your complimentary consultation. Planning fees are separate from the cost of travel (flights, accommodations, etc.) and are non-refundable once services have commenced. Fees are charged to authorize the planning process and are due prior to the commencement of detailed planning.
4. Cancellation Policy
If a client cancels a booking, the following cancellation fees apply in addition to any fees imposed by suppliers, airlines, or third-party providers:
• 91+ days before travel: $50 per reservation
• 61–90 days before travel: $100 per reservation
• 31–60 days before travel: $200 per reservation
• 0–30 days before travel: $300 or more per reservation
Cancellation requests must be submitted in writing via email to jennifer@paradisecoasttravel.travel. The cancellation date is the date on which written notice is received. Planning fees paid prior to cancellation are non-refundable. Supplier cancellation penalties are separate from and in addition to Paradise Coast Travel cancellation fees.
5. Role as Travel Advisor
Paradise Coast Travel, LLC acts solely as an agent on behalf of clients in arranging travel services. We do not own, operate, or control airlines, hotels, cruise lines, resorts, tour operators, transportation companies, or any other travel service providers. We are not responsible for:
• Acts or omissions of third-party suppliers
• Cancellations or changes made by suppliers
• Travel delays, accidents, injuries, or losses
• Force majeure events including weather, natural disasters, pandemics, or government actions
• Errors in supplier-published schedules, rates, or descriptions
6. Travel Protection (Insurance)
Paradise Coast Travel, LLC strongly recommends that all clients purchase comprehensive travel protection insurance. Travel insurance can protect against trip cancellations, medical emergencies, lost luggage, and other unforeseen events. We can assist in identifying suitable travel protection options at the Signature tier and above. The decision to purchase travel protection rests solely with the client.
7. Passports, Visas & Travel Documents
Clients are solely responsible for ensuring they hold valid travel documents required for their trip, including passports, visas, health certificates, and any other documentation required by destination countries or carriers. Paradise Coast Travel, LLC may provide general guidance at certain service tiers but is not responsible for any consequences arising from a client's failure to obtain or maintain valid travel documents.
8. Health & Special Needs Travel
Paradise Coast Travel, LLC specializes in accessible and special needs travel, including services for travelers with cognitive or developmental disabilities, autism spectrum conditions, and other accessibility requirements. While we make every effort to arrange appropriate accommodations and experiences, we cannot guarantee the suitability of third-party facilities for any individual client's specific needs. Clients must disclose all relevant health, accessibility, or special needs information at the time of booking so we can seek appropriate arrangements.
9. Payment
Planning fees must be paid prior to commencement of services. Payment for travel products (accommodations, cruises, tours, etc.) is subject to the payment schedules and terms of the respective suppliers. Deposits and final payments are due per supplier requirements, which will be communicated to you during the planning process. All payments are subject to our Payment Policy, available at www.paradisecoasttravel.travel.
10. Modifications
We reserve the right to modify these Terms and Conditions at any time. Updated terms will be posted on our website and will apply to all engagements entered into after the posting date. Continued use of our services after any modification constitutes acceptance of the revised terms.
11. Limitation of Liability
To the fullest extent permitted by applicable law, Paradise Coast Travel, LLC's total liability for any claim arising out of or relating to our services shall not exceed the total planning fees paid by the client for the engagement giving rise to the claim. We are not liable for indirect, incidental, consequential, or punitive damages of any kind.
12. Governing Law
These Terms and Conditions are governed by the laws of the State of Florida, without regard to its conflict of law provisions. Any disputes shall be resolved in the courts of Collier County, Florida.
